About You:
We are currently looking for a talented Administrative Assistant to support our attorneys in an efficient, detail-oriented, and proactive manner.

Duties:
The successful candidate will be responsible for the daily management of law firm activities, including but not limited to the following:
• Field client leads and assign and coordinate cases with staff Attorneys
• Lead and coordinate Law Firm marketing efforts
• Attending Law Firm Seminars
• Field calls from clients with questions or concerns and direct them to the appropriate legal staff for advice when needed
• Bookkeeping at the front end, including paying bills, printing checks as-needed for expense reimbursement, etc.
• Maintaining and stocking Law Firm supplies
• General administrative duties, including maintaining Law Firm files, ensuring that all materials are scanned to the server and client files properly maintained
• Direct support of legal staff in the preparation of estate planning portfolio drafts for clients and final preparation for document execution
• Direct support of legal staff in the preparation of Medi-Cal and VA Applications and submittal
• Direct support of legal staff in Probate processes and proceedings
• Preparation of Attorney Engagement Letters
• Invoicing clients
• Meeting and executing documents with clients as needed
• Maintain updated Notary Public commission
• Coordinate calendars for legal staff
• Maintaining case tracking and updated status of all cases

Job Requirements


Education, training, experience:
Preferred:
• Previous work experience with a estate planning law firm
• Proficiency in WealthDocx

Required:
• Notary Public Certification (candidate may obtain after employment)
• Proficiency in Microsoft Office, QuickBooks, and Time Matters software
• Previous marketing experience
• Excellent written and oral communication skills and solid interpersonal skills
• Professional phone manner
• Ability to multi-task, must be able to work independently with limited supervision
• Maintaining confidential information necessary
